We handle commercially sensitive financial information for a living. This policy sets out what we collect, why, how long we keep it and who can ever see it.
What we collect
When you enquire, we collect your name, email address, phone number, business name and the details you choose to give us about the valuation you need.
When you engage us, we collect the financial and operational records required to complete the valuation — financial statements, tax returns, management accounts, asset registers, leases, contracts and details of owner remuneration. We collect only what the engagement requires.
Our website records standard analytics such as pages visited and approximate location. It does not identify you personally.
Why we collect it
Enquiry information is used to respond to you, scope the engagement and issue a fixed-fee quote. Engagement information is used solely to prepare the valuation you commissioned.
We do not sell, rent or trade your information. We do not use your business information to market other services to you or to anyone else, and we do not approach the clients of accountants and lawyers who refer work to us.
Confidentiality
Every engagement is covered by a confidentiality undertaking. Information you provide is accessible only to the valuers and support staff working on your engagement.
Where a report is prepared for court proceedings, disclosure is limited to what the expert evidence rules require. Where a report is prepared for the ATO or a lender, it is disclosed only to the party you nominate.
We will not disclose your information to any other party without your written instruction, unless we are compelled to by law or by a court order.
How long we keep it
Valuation working papers and reports are retained for a minimum of seven years, consistent with professional practice and the possibility that a valuation is later reviewed, audited or relied on in proceedings.
Enquiry information from prospects who do not engage us is deleted within twelve months.
Security
Records are held on access-controlled systems. Documents are exchanged by secure means, and we will not ask you to email highly sensitive material without an appropriate transfer method.
Your rights
You may request access to the personal information we hold about you, ask us to correct it, or ask us to delete it where we are not required to retain it. Email or call us and we will respond within a reasonable period.
If you are unhappy with how we have handled your information, contact us first. If the matter is unresolved you may refer it to the Office of the Australian Information Commissioner.
